ALFAKIT Care

Keep the live Domino TMS running

Support, customisation and SLA for live PROLOG / ALFAKIT on IBM Domino and HCL Notes.

Platform

Live TMS on IBM Domino and HCL Notes

Customising the freight-forwarder installation you already run. Care does not require a migration.

What Care actually does

IBM Domino & HCL Notes · PROLOG / ALFAKIT

  • LotusScript and Java agents, forms, views, ACL, NSF databases
  • Integrations: ERP and 1C, e-invoicing, CSV/Excel, BI, HTTP API
  • Server load, agent scheduling, backup routines
  • Targeted changes on a live installation

Which estates

TMS · CRM · ERP on Domino

  • Forwarders and carriers on PROLOG / ALFAKIT
  • Logistics TMS, CRM and ledgers on IBM Domino / HCL Notes
  • Other NSF — when the work is LotusScript, Java agents, ACL or integrations
  • Care does not require a migration. Core modernisation is a separate section.

Modernisation

ALFAKIT, TMS, CRM and ERP — in phases

A live estate can evolve on Domino. Replacing the core is a separate track, not a Care retainer clause.

Keep the core

Domino / HCL upgrades, web access, integrations, catalogue modules, targeted NSF changes. That is Care: the system has to open on Monday.

Layers on top

ALFAKIT SMART (call → TMS document), reports, extracts, 1C, e-invoicing. An overlay — not a new platform and not a migration blocker.

Phased platform

Dual-run, strangler, rollback by domain — not a weekend cutover. ALFAKIT NEXT: waitlist. Not inside a support contract.

Where to start

The same system audit as Care: inventory of customisations, agents, ACL and exchanges. Without that inventory a «move» is a lottery.

System audit

A paid, fixed-scope review of your live installation. The deliverable is a written report you keep — even if we never sign a support agreement.

What we inspect

Server load and heavy views, agent queues and schedules, access rights, integrations with external systems, and undocumented customisations left by previous contractors.

What you receive

A written report, a risk register with impact assessment, an inventory of customisations and dependencies, and a prioritised work list estimated in hours.

Price and duration

From €900, 5–10 business days depending on the size of the installation. The fee is credited against a support agreement signed within 30 days.

Why it works this way

An honest estimate is impossible without looking inside. The audit replaces guesswork with a document — and gives you leverage with any contractor, not only with us.

The audit carries no obligation to buy support. Request it via the form below, topic “System audit”.

Process

Process optimisation

First we rebuild how the company actually works — then we encode it in the TMS/CRM. Automating a broken process only accelerates the chaos.

As-is → to-be

Flow map (request → quotation → deal → documents → payment), bottlenecks and logic hidden in agents and spreadsheets.

Roles and decisions

Who sees what, where approval sits and what the response target is; we remove redundant loops before touching forms and ACL.

Rollout into the system

Views, agents, forms and reports rebuilt for the target process design. Pilot first, then a phased rollout with user acceptance.

Metrics

Control cuts in BI: response time, margin, open deals — so the process does not quietly roll back.

Customisation

Customisation clusters

Four directions. The full module catalogue lives on a separate page.

Finance

ERP and payment integration, e-invoicing documents, multi-currency exports, shipment economics, receivables and payables.

Sales

Requests and quotations, account owners and bonuses, rates, response targets, plan versus actual.

Operations

Print forms, customs, views and filters, contract discipline, performance.

Access

Manager, forwarder, account owner, head and accountant roles; ACL, onboarding and offboarding.

Agent orchestration

AMgr schedules, execution order, logs, stuck queues, server agents per database.

Rights and backup

ACL, offboarding, NSF and DAOS, comparison against the backup, separate test and production tracks.

LotusScript and Java

Agent diagnostics, form and view changes, regression checks on critical documents.

SLA matrix

PriorityWhenFirst responseRecovery target
P1Production down or operations blocked at scale≤ 2 business hoursSame day or workaround
P2Critical process degraded≤ 4 business hours≤ 2 business days
P3Non-blocking defect, enhancement≤ 1 business dayPer agreed plan

Support window and escalation are fixed in the package agreement. 24/7 is an option on top of Scale.

Resilience

Reducing legacy risk

A system that is 10–20 years old fails in predictable ways. Below are the jobs almost nobody buys until an outage forces them to.

Restore drill

We restore your backup into a test environment and measure how long it takes. “Backups are running” and “restore works” are different claims, and only the second one is provable.

Test environment

Many installations simply do not have one: changes go straight into production. We separate the test and production tracks so releases stop being a lottery.

Customisation inventory

We reverse-document what previous developers left behind: what each agent does, where its data comes from, and what breaks if you switch it off.

Versions and licensing

The upgrade path for IBM Domino and HCL Notes, the licensing model, what stops working on the way and in which order to fix it.

Enabling your own admin

We hand routine work to your team: logs, rights, agent restarts, standard diagnostics. Our goal is that you call us less often, not more.

Exit plan

Sources, data exports and documentation stay with you. Leaving a contractor has to be technically possible — otherwise it is not support, it is hostage-taking.

Retainer

Monthly support

A retainer with committed response times, an hour bank and an annual discount. Final pricing follows the system audit. Prices are indicative and do not constitute a public offer.

Care

from €750/mo

Stabilisation

  • ~8–12 hours per month
  • P2–P3, response within the business day
  • Small changes to rights, views, agents

Scale

from €3,500/mo

Domino Ops

  • ~40–60 hours per month
  • Agent orchestration and server load
  • BI exports plus a quarterly process review

Incident

from €350/mo

Incidents only

  • Priority queue without a development bank
  • P1–P2 at Care targets
  • Extra hours billed separately

One-off engagements

  • System audit — from €900 (credited against a contract)
  • 10 hours — from €700
  • 25 hours — from €1,600
  • 50 hours — from €3,000

Annual contract prepaid for 12 months: −10…15% off the monthly Care / Growth / Scale rate. Large modules sit outside the retainer. Conversation intelligence: ALFAKIT SMART. Warehouses: Semper In Motu.

Executive risk

Continuity and handover

A critical TMS must not depend on “one person who keeps it all in their head”. Artefacts stay inside your perimeter. Leaving a contractor has to be technically possible.

  • Contract and scope before we start

The Care–Scale package, the priority matrix and the scope boundary are in the agreement. “One more field” is a change request, not a surprise on the invoice.

  • Documentation stays with you

The runbook for agents and rights, the list of customisations and incident decisions live in your repository (Confluence, an internal wiki or an NSF database).

  • Artefact handover

Sources for agents, forms and export scripts plus a restore procedure, on request within the contract. No vendor lock behind a closed binary.

  • Legal entity and escalation

P1–P3 targets are in the agreement. 24/7 is an option on top of Scale. Contractor: Vitali Kharuzhko, Minsk, UNP 102176582. Contract template — see the contact block below, not “on request” in a vacuum.

Who this is for

Logistics TMS

  • Forwarders and carriers on PROLOG / ALFAKIT
  • Finance, sales, customs, dispatch
  • Needing customisation, reporting and a stable Domino

Other Domino estates

  • Companies on IBM Domino / HCL Notes outside pure logistics
  • Taken when the work is LotusScript, Java, ACL or integrations
  • Side stream — not a second homepage

Core stack (Domino TMS)

  • IBM Domino · HCL Notes
  • LotusScript · Java agents · Formula
  • HTTP API · CSV / Excel · ERP and 1C · e-invoicing
  • Exports to QlikView / Power BI

Cases

Anonymised. Format: problem → action → result.

  1. Payment import from the accounting system

Problem: duplicates and truncated invoices when loading multiple currencies.
Action: CSV exchange, import configurations, tests against real bank statements.
Result: customer payment import confirmed on production accounts.

  2. E-invoicing documents

Problem: the XML failed the operator’s validation.
Action: templates plus checks on company details and regions.
Result: documents accepted by the e-invoicing operator.

  3. Reporting for CFO, sales and CEO

Problem: the only cuts available were heavy TMS views.
Action: daily exports into QlikView, response time in hours, role-based scenarios.
Result: separate dashboards for finance, sales and management.

  4. Dispatcher and manager roles

Problem: staff could see other people’s deals and processes were blocked.
Action: role model, ACL, targeted rights restoration.
Result: access and processes match the org chart again.

  5. Quotation process optimisation

Problem: requests were lost between departments and response time was never measured.
Action: as-is and to-be design, queue roles, a response standard, export into BI.
Result: a transparent queue and handling time measured in hours.

  6. TMS export into management reporting

Problem: manual Excel assembly across several parts of the installation, mismatched keys.
Action: stable export agents out of Domino, agreed fields for finance and sales.
Result: daily cuts without manual stitching. A full warehouse from any source runs at Semper In Motu.

FAQ

Frequent questions

Do you replace our IBM Domino or HCL Notes?

No. We support and customise the live installation. Core modernisation is a separate section, not a Care clause.

Do you offer an audit as a service?

Yes. From €900, 5–10 business days. Written report, risk register, inventory, hour list. Credited if you sign within 30 days. See System audit.

What if the key developer is unavailable?

See continuity: documentation and sources inside your perimeter. We do not promise a “team of twenty”.

Where is call AI?
